    Terms & Conditions

    These Terms & Conditions explain the terms that apply when you use the UnivEase website, request information, place a Service Order, make payment, submit documents, or engage any UnivEase service. They outline the scope of our responsibilities, your obligations, payment terms, third-party fee arrangements, service limitations, refund conditions, document handling procedures, and dispute resolution process. Please read these Terms carefully before using our website or engaging UnivEase for any service.


    Website Use Notice: By browsing our website, requesting information, paying for, or using any UnivEase service, you agree to be bound by these Terms & Conditions and our Privacy Policy. If you do not agree with these Terms, please discontinue use of our website and services immediately.

    About these Terms

    These Terms and Conditions ("Terms") form a binding agreement between M/S UnivEase Education & Visa Solutions ("UnivEase", "we", "us") and the client purchasing or using our services ("Client", "you"). By requesting, paying for, or using any UnivEase service, you confirm that you have read, understood, and accepted these Terms.


    These Terms apply to all UnivEase services purchased under a Service Order. If these Terms conflict with a Service Order, the Service Order prevails only for that specific point.


    UnivEase provides consultancy and procedural guidance only. We are not an embassy, consulate, university, visa application center, or government authority, and we do not control decisions, appointments, requirements, or processing times.

    Definitions

    "Authority": any embassy, consulate, immigration authority, visa application center, government authority, university or college, regulator, or other third-party controlling decisions, appointments, timelines, or requirements.

    "Service Order": the quotation, invoice, money receipt, or written confirmation describing purchased services, scope, and fees.

    "Service Fee": fees charged by UnivEase for our professional time and work.

    "Third-Party Fees": fees charged by entities other than UnivEase, including university application fees, university tuition fees, courier charges, bank or payment gateway charges, translation/notary/attestation charges, medical or travel insurance charges, and any other external costs.

    "Tracking Number": the internal case reference issued for your file.

    "Working Day": Sunday to Thursday in Bangladesh, excluding public holidays (unless we state otherwise in writing).

    Services and Key Limitations

    UnivEase provides professional consultation, procedural guidance, document support and coordination assistance based on publicly available rules and on the information and documents you provide. Depending on the Service Order, we may:
    • Provide consultation on processes, typical timelines and document requirements; prepare and share checklists, review documents for completeness and format (without independently verifying authenticity unless stated in the Service Order).
    • Assist with forms and prepare supporting letters/declarations based on your instructions and information.
    • Provide appointment and submission guidance, including cross-country visa coordination where applications must be lodged via a designated third country.
    • Coordinate document processing such as translation, notarization, attestation, printing, scanning, and formatting where ordered.
    • Admission counselling and application support, including program selection guidance, document review, application completion assistance, and follow-up coordination with institutions where ordered.

    You acknowledge and agree that:
    • Final decisions and timelines are set by Authorities and institutions. UnivEase cannot guarantee approvals, outcomes, visa type/validity/number of entries, scholarships, admissions, appointments, or processing times.
    • Requirements, fees, and procedures may change without notice; UnivEase does not influence interviews, assessments, background checks, verifications, or discretionary decisions made by Authorities or institutions.
    • UnivEase does not provide legal representation. Any information we provide is general and procedural in nature.

    Client Eligibility and Responsibilities

    You confirm that you are legally capable of entering into this agreement. If you engage UnivEase on behalf of another person or organization, you confirm that you are authorized to do so and to share their documents and personal data for service delivery.

    To deliver services effectively, you agree to:
    • Provide accurate, truthful, complete, and up-to-date information and documents; do not provide forged, altered, or misleading documents.
    • Submit documents on time, attend appointments/interviews with required originals, and review/approve drafts, forms, and information before submission.
    • Maintain valid passports and ensure travel/study plans comply with applicable visa/admission conditions; and promptly notify us, during service confirmation and throughout service delivery, of any information or change in circumstances that may affect eligibility including refusals, travel history, employment, marital status, finances, academic status, medical conditions, or criminal/immigration issues.
    • Pay Service Fees and applicable Third-Party Fees, and keep copies of receipts and submission confirmations.

    If you do not cooperate, delay submissions, or provide incomplete or inaccurate information, UnivEase may place the case on hold, suspend work, or close the case. Any related costs, delays, or missed opportunities will be your responsibility.

    Fees, Payment, VAT and Taxes

    5.1 Full advance payment: All UnivEase Service Fees are payable 100% in advance. We start work only after full payment is received and the Service Order is confirmed.

    5.2 Third-Party Fees and VAT: All Third-Party Fees, applicable VAT, and any payment processing charges (if applicable) are payable by the Client unless UnivEase explicitly states otherwise in writing. Third-Party Fees are separate from the Service Fee.

    5.3 Payment channels and chargebacks: Payments may be made by cash, bank transfer, card, mobile or internet banking, or approved payment gateways, as available. Bank and gateway terms apply. If a payment is reversed, disputed, or charged back after work starts or costs are incurred, you must immediately settle outstanding amounts and reimburse related charges.

    5.4 Price changes: Third-party fees and external service provider charges may change due to Authority revisions, exchange rate movements, or provider price changes. We will inform you before incurring additional costs where practical.

    5.5 Changes to UnivEase Service Fees: UnivEase may revise its Service Fees from time to time without prior notice. The Service Fee applicable to you is the fee stated in your Service Order at the time you place the order.

    Third-Party Dependency

    Many parts of education admissions and visa processing depend on Authorities and external service providers. You acknowledge and accept that:

    • Authorities and visa application centers control requirements, fees, processes, appointments, and timelines.

    • Universities control admission and scholarship decisions, deadlines, and required documents.

    • Couriers, logistics providers, banks, and payment gateways control transit times and payment processing once items or transactions are handed to them.

    • UnivEase is not liable for Authority or third-party actions, decisions, or delays outside our reasonable control.

    Documents, Originals, Passports, and Logistics

    If your Service Order involves handling, transporting, or submitting passports or original documents, the following applies:

    Authorization and records: You authorize UnivEase to receive, hold, submit, collect, dispatch, and/or transport passports and original documents as per the Service Order, and we will maintain reasonable handover/receipt records. Where cross-country dispatch of a passport is required, prior permission from the Ministry of Home Affairs (MoHA) must be obtained before dispatch, and the Client shall provide all required documents and authorizations. MoHA decisions, timelines, and requirements are determined solely by the relevant authority and remain outside UnivEase's control. UnivEase shall exercise reasonable care while items are in its custody.

    Transit risk: Once items are handed to a courier or third-party logistics provider, custody and transit risk pass to that provider. Any delay, loss, damage, or misplacement occurring while in the third party's custody shall be dealt with under the third party's terms and liability limits, and shall remain outside UnivEase's control.

    Client verification: You must verify issued visas, letters, and documents upon receipt, including name, passport number, dates, entries, and conditions, and notify us promptly of discrepancies.

    Return without approval: A refusal, different visa outcome, or non-acceptance due to missing or late documents does not create an automatic refund entitlement.

    Unclaimed items: If you become unreachable or do not collect within 30 days of our notification via email, SMS, WhatsApp, phone call, or any other written or recorded method, we may store items at your risk/cost or return them by courier to your recorded address at your expense. We are not responsible for delays caused by an unreachable Client.

    Timelines, Communication, and Completion

    Any timeline we provide is an estimate. Actual timelines depend on Authorities and third parties. We provide updates when received or when your case reaches a meaningful next step. You may request an update through our official communication channels.

    Client Review and Approval Before Submission

    UnivEase may help prepare forms and supporting documents, but you remain responsible for confirming all submitted information is correct, complete and consistent. Where appropriate, we may request written approval before submission. If you approve incorrect information, UnivEase is not responsible for the resulting outcome.

    Payment, Refunds, and Cancellations (temporary policy)

    This Payment and Refund Policy is deemed incorporated into the Terms and Conditions. Any payment made or refund requested constitutes your acknowledgement and acceptance of the terms set out herein:

    • Service Fees relate to UnivEase professional time and work delivered; Third-Party Fees are separate and follow third-party rules (refundable only if and when the third party refunds them).

    • No refund is provided solely because a visa/admission outcome is negative, an appointment is unavailable, or processing takes longer than expected.

    • Refunds, if any, apply to the Service Fee portion only and exclude non-refundable add-ons already delivered. 


    10.1 Stage-based Service Fee refunds (Client cancellation)

    If you cancel in writing, the following refund guideline applies to the Service Fee:

    10.2 Additional notes

    • VAT paid on the UnivEase Service Fee is non-refundable.

    • If any visa fee or university application/tuition fee paid to UnivEase remains unused and has not been submitted or processed, UnivEase shall refund that specific unused amount in full (100%), subject only to any unavoidable bank/payment gateway charges actually incurred.

    • If a case is on hold for more than 3 months due to missing documents or lack of response or any other reasons, UnivEase may close the case; reopening may require a new Service Fee.

    • If forged/misleading documents are provided or unlawful actions are requested, UnivEase may terminate the service with no refund.

    • If a specific paid add-on has already been delivered (for example translation, notarization, courier booking, or paid university application submission), that add-on is non-refundable; Third-Party Fees incurred on your instruction remain payable. 


    10.3 Cancellations and rescheduling

    All Cancellations must be submitted in writing via email to hello@univease.com. Rescheduling/changes depend on third-party rules (embassy/VFS policies, university deadlines, courier pickup windows). Any third-party rescheduling fees are payable by the Client.


    10.4 Refusals and reapplications

    If a case is refused, UnivEase may, at its discretion, offer guidance or a new service offer for reapplication. Any discount/credit is not automatic and must be confirmed by email. Third-Party Fees are not credited unless the third party refunds them.

    Compliance, Fraud Prevention, and Termination

    UnivEase may pause, refuse, or terminate services if:
    • suspected fraud, document forgery, or material inconsistencies are identified;
    • unlawful, misleading, or unethical actions are requested;
    • required documents or cooperation are not provided within reasonable timelines;
    • continuing the service creates an unacceptable legal, compliance, or reputational risk.

    Where permitted by law, UnivEase may decline service before starting work. In such cases, paid amounts will be handled under the refund stage logic above.

    Data Protection and Confidentiality

    We use personal data and documents only for service delivery, relationship management, and legal/regulatory obligations, with reasonable security measures and restricted access.
    We may share necessary information with Authorities and service partners (for example translators, couriers, universities, and payment processors) for service delivery. By using our services, you consent to this limited sharing.
    Retention: UnivEase shall retain Client information securely for as long as necessary for service delivery and compliance purposes and, where legally permitted, may retain such information for lifetime. UnivEase shall retain case records for at least one (1) year after case closure (and longer where required or permitted by law); where legally permitted, you may request deletion in writing after case closure.

    Intellectual Property and Use of Materials

    UnivEase checklists, templates, process notes, and written guidance remain our intellectual property. You may use them only for your case and may not resell, publish, or distribute them without written permission.

    Limitation of Liability and Indemnity

    • To the maximum extent permitted by law, UnivEase is not liable for indirect or consequential losses (missed travel/deadlines, lost profits, opportunity costs, or emotional distress).
    • UnivEase’s total liability for any claim relating to the services is limited to the Service Fee paid to UnivEase for the Service Order giving rise to the claim.
    • UnivEase is not liable for losses caused by third parties, including Authorities, universities, visa application centers, couriers, third-party logistics providers, banks, payment gateways.
    • Nothing limits liability for fraud or willful misconduct where such limitation is not permitted by law.
    • You agree to indemnify and hold UnivEase harmless against claims, losses, penalties, and costs arising from false/misleading/unlawful information or documents you provide, your breach of these Terms, or your unlawful acts/omissions.

    Complaints, Dispute Resolution, and Force Majeure

    Complaints must be submitted in writing via email to hello@univease.com within 2 Working Days of the issue arising, with supporting evidence. UnivEase shall review and respond within a reasonable time. We encourage resolving disputes in good faith before legal action.


    UnivEase is not responsible for failure or delay caused by events beyond our reasonable control, including natural disasters, strikes, political unrest, war, pandemics, government restrictions, system outages, or courier disruptions. In such cases, services may be paused or rescheduled and third-party rules will apply.

    Changes, Governing Law, and Miscellaneous

    UnivEase may update these Terms from time to time. The version in force is the one shared with you or available through official UnivEase channels when you place your Service Order. Any new Service Order or continued use after an update is published or communicated through official channels constitutes acceptance. Updates do not apply retroactively to services already completed under a Service Order.
    These Terms are governed by the laws of Bangladesh. Any dispute that cannot be resolved amicably will be subject to the courts of Dhaka, Bangladesh, unless mandatory law requires otherwise.
    • Notices and official communications must be sent through the contact details stated on the Service Order or through UnivEase official channels; messages sent to personal numbers or unofficial accounts may not be treated as notice.
    • Severability and waiver: Invalid provisions do not affect the rest; delay in enforcement is not a waiver.
    • Assignment and entire agreement: No assignment or transfer of rights and obligations by Client shall be valid without UnivEase’s prior written consent; these Terms plus the Service Order form the entire agreement and replace prior discussions or understandings for the same subject.
    • Electronic communications and signatures are acceptable where legally permitted.

    Acceptance

    By paying for, requesting, or using any UnivEase service, you confirm acceptance of these Terms and acknowledge that final outcomes depend on Authorities and third parties. By continuing to browse this website or by placing any new Service Order after these Terms are published or updated, you acknowledge and accept the applicable version of these Terms.
