    This Privacy Policy applies to M/S UnivEase Education & Visa Solutions ("UnivEase", "we", "us", or "our") and explains how we collect, use, share, store, and protect personal information in connection with our website, consultations, service enquiries, and all services provided by UnivEase.


    This Privacy Policy should be read together with our Terms & Conditions, Refund Policy, Service Order, invoice, money receipt, and any written service confirmation issued by UnivEase.


    For the purpose of this Policy, "personal information" means any information that identifies, relates to, or can reasonably be linked to an individual, applicant, student, traveler, sponsor, family member, employer, representative, or other person connected with a case.

    Depending on your enquiry, communication channel, Service Order, and the service requested, UnivEase may collect the following types of information from you, your authorized representative, agent, guardian, sponsor, employer, institution, or other relevant person involved in the service:
    • Identity and contact details, such as full name, date of birth, nationality, gender, address, phone number, email address, emergency contact, and representative details.
    • Passport, visa, and travel information, including passport copies, visa copies, travel history, refusal history, previous applications, appointment records, submission slips, and immigration-related information.
    • Academic and professional information, such as certificates, transcripts, test scores, CV, employment records, salary certificates, reference letters, experience letters, and institutional correspondence.
    • Business and self-employment information, such as trade licences, business registration documents, company ownership records, partnership documents, business bank statements, and related business evidence where required for service delivery.
    • Financial and sponsor information, including bank statements, solvency documents, income documents, tax documents, sponsor declarations, tuition payment records, immovable property documents, property valuation records, ownership evidence, and related financial or asset-based documents where required for service delivery.
    • Family, relationship, and dependent information, where relevant to an admission, visa, invitation, sponsorship, family visit, dependent application, or related service.
    • Medical, insurance, police clearance, biometric appointment, or other sensitive information where required by an Authority, institution, or third-party service provider for a specific service.
    • Payment and transaction records, including invoices, money receipts, bank transfer confirmations, payment references, chargeback details, and related billing information.
    • Communication and enquiry records, including emails, phone call notes, SMS, WhatsApp messages, website forms, social media messages, enquiry forms, file notes, case updates, instructions, and other communication made through official UnivEase channels.
    • Website, campaign, and technical information, such as IP address, browser type, device information, pages visited, referral source, enquiry source, form submissions, cookies, analytics data, and interactions with UnivEase website pages, online forms, or digital campaigns.
    We collect only the information that is reasonably required for enquiry handling, eligibility assessment, service delivery, compliance, communication, payment processing, records, or legitimate business purposes.

    Where you provide information about another person, such as a family member, student, employee, sponsor, dependent, or representative, you confirm that you have the authority to share that information with UnivEase for service delivery.

    • To assess eligibility and advise on admission, visa, document, or related service requirements.

    • To support admission applications, visa applications, e-visa applications, cross-country visa coordination, document legalization, or related service processes.
    • To communicate with you regarding document requirements, appointments, payments, submission status, service updates, and case progress.
    • To coordinate with Authorities, institutions, visa application centres, universities, couriers, translators, notaries, payment processors, banks, logistics providers, and other service partners where required.
    • To issue Service Orders, invoices, money receipts, Tracking Numbers, payment confirmations, and case records.
    • To maintain internal records, audit trails, compliance files, and service history.
    • To protect UnivEase, applicants, and service partners from fraud, document misuse, misrepresentation, unlawful activity, chargebacks, disputes, and security risks.
    • To improve our website, communication, service process, and internal quality controls.
    • To comply with legal, regulatory, contractual, tax, accounting, reporting, or dispute-resolution requirements.

    Sharing of Information

    UnivEase does not sell, rent, or trade personal information to advertisers or unrelated third parties.
    However, we may share necessary information and documents where required for service delivery, including with:
    • Embassies, consulates, immigration authorities, visa application centres, and government authorities.
    • Universities, colleges, schools, scholarship bodies, admission offices, and education partners relevant to your application.
    • Translators, notaries, attestation providers, document legalization service providers, medical or insurance service providers, and related professional service partners.
    • Courier, logistics, passport handling, and document delivery service providers.
    • Banks, card processors, mobile financial services, payment gateways, and accounting or tax service providers.
    • Technology, hosting, communication, email, CRM, cloud storage, analytics, and security service providers used by UnivEase.
    • Legal, regulatory, compliance, law enforcement, or dispute-resolution bodies where required or permitted by law.
    We share information only to the extent reasonably necessary for the relevant purpose. Authorities and third-party service providers may process information under their own rules, privacy policies, and legal obligations.

    International Processing and Cross-Border Sharing

    Because UnivEase provides admission, visa, documentation, legalization, and related support services, your information may need to be shared with Authorities, institutions, service providers, or technology platforms located inside or outside Bangladesh.

    This may include universities, embassies, visa application centres, immigration authorities, courier or logistics providers, cloud service providers, or other service partners in the relevant destination country or processing country.

    By requesting or using our services, you understand and consent that your information may be transferred, submitted, stored, or processed outside Bangladesh where necessary for service delivery, subject to applicable law and service requirements.

    Documents, Passports, and Original Records

    Where your service requires document handling, UnivEase may receive, hold, scan, copy, submit, collect, dispatch, or coordinate passports, original documents, and supporting records as stated in the Service Order or as required for service delivery.

    We use reasonable care while documents are in our custody and may maintain handover, receipt, dispatch, or collection records. Once documents are handed to a courier or third-party logistics provider, custody and transit risk are governed by that provider’s terms and procedures.

    You should not send original documents, passports, or highly sensitive information through unofficial channels unless UnivEase specifically instructs you to do so through an approved process.

    Cookies, Website Analytics, and Online Forms

    Our website may use cookies, analytics tools, and similar technologies to operate the website, remember basic preferences, measure page performance, understand visitor behaviour, improve content, and protect against misuse.

    We may also send service updates, informational content, or promotional communication. You may request to stop receiving marketing communication. This will not affect necessary service-related communication for an active or completed case.

    UnivEase uses reasonable administrative, technical, and organizational measures to protect personal information and documents against unauthorized access, misuse, loss, alteration, disclosure, or destruction.

    Access to case information is limited to authorized persons who need it for service delivery, supervision, compliance, accounting, dispute handling, or operational purposes.

    No method of transmission, storage, or online communication is completely secure. You are responsible for using safe communication practices, providing accurate contact details, and informing us promptly if you believe your information has been sent to the wrong recipient or compromised.

    Retention of Information

    UnivEase retains personal information, documents, communication records, payment records, and case files for as long as necessary for service delivery, legal or regulatory compliance, internal records, accounting, audit, dispute handling, fraud prevention, and legitimate business purposes.

    Case records may be retained for at least one (1) year after case closure and longer where required or permitted by law, contract, compliance needs, dispute handling, or operational requirements.

    Where legally permitted and reasonably possible, you may request deletion of personal information after case closure. However, UnivEase may retain information where retention is necessary or permitted for legal, compliance, accounting, dispute-resolution, fraud-prevention, or legitimate business reasons.

    Subject to applicable law, identity verification, service requirements, and UnivEase’s legal, record-keeping, and legitimate business obligations, you may contact UnivEase to request:
    • Access to, or a summary of, personal information held in relation to your case.
    • Correction of inaccurate, incomplete, or outdated information.
    • Update of your contact details or communication preferences.
    • Withdrawal of optional marketing consent.
    • Deletion of personal information where legally permitted and no longer required.
    • Clarification on how your information is collected, used, shared, stored, or retained.

    For case-specific requests, you must provide your Tracking Number, full name, contact details, and sufficient information to verify your identity.

    UnivEase may refuse, limit, or delay a request where verification is not possible, the request is incomplete, or compliance would conflict with law, contract, Authority requirements, service delivery, dispute handling, fraud prevention, confidentiality obligations, or legitimate business needs.

    Access requests do not include UnivEase’s internal systems, internal notes, staff communications, operational tools, or confidential business records.

    Children and Minors

    Our services may involve students, dependents, or minors where a parent, legal guardian, sponsor, employer, or authorized representative engages UnivEase for service delivery.

    Where information relating to a minor is provided, the person submitting the information confirms that they have lawful authority to do so and to authorize UnivEase to use the information for the relevant service.

    You are responsible for providing accurate, complete, truthful, and up-to-date information and documents. You must promptly notify UnivEase of any change that may affect your enquiry, eligibility, application, service delivery, or communication.

    UnivEase is not responsible for delays, refusals, rejections, losses, or other outcomes caused by inaccurate, incomplete, outdated, forged, misleading, or unauthorized information or documents provided to us.

    Our website, messages, or documents may contain links to third-party websites or platforms, including universities, embassies, visa application centres, payment gateways, couriers, appointment systems, or social media platforms.

    UnivEase is not responsible for the privacy practices, security, content, forms, or policies of third-party websites or platforms. You should review the applicable third-party privacy policy before submitting information to them.

    UnivEase may update this Privacy Policy from time to time to reflect changes in our services, website, operational process, legal requirements, or data-handling practices.
