    The Luxembourg Official Visa is a Schengen short-stay visa for Bangladeshi applicants travelling to Luxembourg for an official delegation, government assignment, diplomatic engagement, institutional meeting, intergovernmental programme, or another formally authorized mission. It generally permits a stay of up to 90 days within any 180-day period.

    This category is intended for journeys supported by official documents such as a Note Verbale, Government Order, delegation authorization, invitation from the Luxembourg host authority, or confirmed programme schedule. Sweden represents Luxembourg for short-stay Schengen visa matters in Bangladesh, and applications are lodged through the Sweden Visa Application Centre in Dhaka. 

    Document Checklist

    1. Passport (Original): Original passport valid for at least 3 months beyond the intended return/departure date, with at least 2 blank pages.
    2. Previous Passport(s) & Visa Copies: Copies of previous passport(s), recent passport bio page, and previously issued visas/stamps to support travel history, where available.
    3. Photograph (ICAO Format): Provide 2-4 recent colour passport photographs with a plain white background, 60%-70% face coverage, no eyeglasses, no head/ear coverings unless worn for religious reasons, and no borders. Photos must be ICAO-compliant.
    4. Schengen Visa Application Form (Offline): Printed Schengen visa application form completed for each applicant; signed and dated. For minors, the form must be signed by parent/legal guardian. The purpose of journey should reflect the official nature of the visit where applicable.
    5. Cover Letter: Applicant’s signed letter addressed to the Visa Officer/Visa Office explaining the official visit, intended travel dates, delegation role, funding or cost responsibility, and key supporting documents.
    6. Note Verbale: Official note issued by the competent authority or relevant government office on official letterhead, confirming the applicant’s service status, purpose of travel, intended travel dates/duration, official role, and return to duty after the visit. It should be signed and stamped where applicable.
    7. Government Order (GO): Official Government Order issued by the competent authority, stating the applicant’s name, designation, destination, purpose of visit, travel dates/duration, and approval for international travel, where applicable.
    8. Official Invitation / Programme Evidence: Invitation, meeting confirmation, programme schedule, event registration, conference letter, or institutional communication from the host authority or organization in Luxembourg showing the purpose, dates, venue, and host contact details.
    9. Flight Reservation / Travel Itinerary: Provisional or confirmed travel itinerary showing travel dates, route, reservation number, and arrival/departure details. If the trip includes transit or onward travel, provide the relevant visa or entry permission where applicable.
    10. Accommodation / Official Arrangement: Hotel booking, official accommodation confirmation, host arrangement, or authority letter confirming where the applicant will stay during the official visit.
    11. Proof of Financial Means: Documents showing how the visit will be funded, such as personal financial records, official sponsorship, government/department support letter, or confirmation from the host authority where costs are covered by the inviting side.
    12. Personal Bank Statements & Solvency Certificate: Original bank statements (personal and/or salary account) for the last 6 months, issued by the bank and showing the bank name and contact details. Statements must be stamped and signed by an authorized bank officer (e-statements not accepted), and accompanied by a bank solvency/financial standing certificate where required.
    13. Personal TIN & ITR: Copy of the personal TIN certificate and Income Tax Return (ITR) for the last 3 tax years, along with the acknowledgement receipts.
    14. Civil Status Documents: Marriage certificate, divorce certificate, death certificate, birth certificate, or family-related documents where applicable, especially when travelling with spouse or children.
    15. Travel Health Insurance: Travel medical insurance covering the full duration of stay, valid across the Schengen area, with minimum medical coverage of EUR 30,000. Diplomatic passport holders may be exempt from the insurance requirement under official rules. 

    Process Roadmap

    Step 1

    Confirm Official Purpose

    Confirm that the journey is based on an official delegation, government responsibility, diplomatic engagement, institutional programme, or another formally authorized activity in Luxembourg. For a qualifying visit of up to 90 days, a Schengen short-stay visa (Type C) is generally used.

    Step 2

    Complete the Application Form

    Complete the Schengen visa application form carefully. The applicant's name, passport details, official designation, travel dates, host information, and funding arrangement should remain consistent with the Note Verbale, Government Order, invitation, and itinerary.

    Step 3

    Arrange Official Authorization Documents

    Compile the Note Verbale, Government Order, delegation authorization, invitation from the Luxembourg authority or institution, meeting confirmation, programme schedule, and any other record that establishes the official purpose and duration of the visit.

    Step 4

    Prepare Travel and Support Evidence

    Arrange the passport, photographs, signed purpose statement, travel itinerary, official accommodation arrangement, funding or cost-responsibility evidence, relevant civil documents, and travel insurance where required. Provide translations where applicable.

    Coordinate Submission at Visa Application Centre

    Luxembourg short-stay visa applications from Bangladesh are handled through the Sweden Visa Application Centre in Dhaka. Diplomatic and official passport holders with a proper Note Verbale from the competent Bangladeshi authority are exempt from appointment scheduling under the current VFS rules.

    Step 6

    Submit Application & Provide Biometrics

    Attend the applicable submission process with the passport and organized application file. Provide biometric data where required and complete any applicable VFS, optional-service, or payment-related formalities in line with the instructions in force on the submission date.

    Step 7

    Track Application & Verify Visa

    Follow the application through the VFS tracking facility where available. Once the passport is returned, check the applicant's name, passport number, visa validity, number of entries, and permitted duration of stay before travelling.
