Document Checklist
- Passport (Original): Original passport valid for at least 3 months beyond the intended return/departure date, with at least 2 blank pages.
- Previous Passport(s) & Visa Copies: Copies of previous passport(s), recent passport bio page, and previously issued visas/stamps to support travel history, where available.
- Photograph (ICAO Format): Provide 2-4 recent colour passport photographs with a plain white background, 60%-70% face coverage, no eyeglasses, no head/ear coverings unless worn for religious reasons, and no borders. Photos must be ICAO-compliant.
- Business/Visiting Card: Copy of the applicant’s business/visiting card showing current designation, company name, and contact details.
- Schengen Visa Application Form (Offline): Printed Schengen visa application form completed for each applicant; signed and dated. For minors, the form must be signed by parent/legal guardian.
- Cover Letter: Applicant’s signed letter addressed to the Visa Officer/Visa Office explaining the business purpose, intended travel dates, invitation details, company background, accommodation plan, funding source, and key supporting documents.
- Flight Reservation (Temporary): Provisional flight itinerary/reservation showing travel dates, route, and flight details, consistent with the planned schedule. Payment is not necessarily required at this stage.
- Hotel Reservation / Accommodation Booking (Temporary): Booking confirmation covering intended stay dates, showing applicant name, accommodation name/address, check-in/out dates, and booking reference; consistent with itinerary.
- Business Invitation Letter (Company/Organization/Conference/Event): Invitation letter issued by the inviting company, organization, event host, or conference organizer in Finland on official letterhead, addressed to the Visa Office stating purpose of visit, planned activities, travel dates/duration, host address, contact details, and whether support (accommodation/financial) is provided; signed and dated by an authorized signatory with name and designation.
- Proof of Business Relationship / Professional Engagement: Documents showing the commercial relationship, professional collaboration, event participation, or business purpose, such as contracts, invoices, payment records, purchase orders, correspondence, meeting agenda, company profile, event registration, or conference/trade fair admission where applicable.
- Forwarding Letter from Employer: Employer/company letter confirming the applicant’s position, employment or business affiliation, purpose of travel, intended travel dates, and whether the trip is self-funded or company-sponsored. If the applicant is the proprietor, provide a statement from the company in Bangladesh regarding the business trip.
- Proof of Occupation: Documents confirming your current professional status and ties to your home country, such as employment certificates, leave approval, pay slips, salary statements, or business-related documents (e.g., Trade License, Incorporation Certificate, MOA, Form XII, IRC/ERC). These should be recent, consistent with your application, and clearly demonstrate your ongoing occupation and intent to return after your visit.
- Company TIN & ITR: Copy of the employer/company TIN certificate and copies of the company Income Tax Return (ITR) for the last 3 tax years, along with the acknowledgement receipts.
- Personal Bank Statements & Solvency Certificate: Original bank statements (personal and/or salary account) for the last 6 months, issued by the bank and showing the bank name and contact details. Statements must be stamped and signed by an authorized bank officer (e-statements not accepted), and accompanied by a bank solvency/financial standing certificate where required.
- Business/Company Bank Statements & Solvency Certificate: Original bank statements for the last 6 months for business/company accounts, issued by the bank and showing the bank name and contact details. Statements must be stamped and signed by an authorized bank officer (e-statements not accepted), and accompanied by a bank solvency/financial standing certificate where required.
- Personal TIN & ITR: Copy of the personal TIN certificate and Income Tax Return (ITR) for the last 3 tax years, along with the acknowledgement receipts.
- Travel Health Insurance: Travel medical insurance covering the full duration of stay, valid across the Schengen area, with minimum medical coverage of EUR 30,000. The policy must show insured person, coverage area, dates, and coverage limit.
Process Roadmap
Step 1
Confirm Finland Business Purpose
Check whether the visit is for meetings, a conference, trade fair, company visit, negotiation, or another short-term professional activity in Finland. For stays up to 90 days, the Schengen short-stay visa (Type C) is generally required.

Book a submission appointment at the Sweden Visa Application Centre in Dhaka, which receives Finland short-stay visa applications. Keep the appointment confirmation and prepare the file in A4 format.
Step 6
Submit Application & Provide Biometrics
Attend the appointment in person to submit the application and passport, provide biometric information, and complete the applicable visa, VFS, and selected service payments.
Step 7
Track Application & Verify Visa
Track the application through VFS using the reference number. After a decision, collect the passport or receive it by courier if selected, and review the visa details before travel.
